Account Administrator

USRBP is currently looking an Account Administrator in the Owings Mills, MD region for our Partner Firm, SF&C Insurance Associates.


The Account Administrator (AA) processes premiums received via payroll deduction from SF&C and SBCG clients and remits to corresponding insurance carriers within mandated contractual deadlines; and also notes when over or underpayments have been made and investigates causes, resolving as needed. The AA serves as an administrative liaison for client and carrier. This position works on regularly scheduled tasks under some supervision with access to resources to which issues may be escalated.


Account Reconciliation: 50 %

  • Review and process payroll deductions and resolve discrepancies. Upload and download reports and premium deductions files for processing. Post and reconcile group payments. (daily)
  • Run Daily Account Balance Report
  • Balance debit and credit transactions
  • Research & resolve out of balances
  • Escalate complex issues to Team Lead or Management
  • Rotate DAB tasks on weekly basis with team
  • Learn and become proficient using FIMMAS for most transactions, leave notes in system for all activities.


Group Payroll Deductions: 20%

  • Submit payroll deductions changes to groups; review and process changes based on submitted client sheets. (as scheduled)
  • Review all client sheets to verify information is correct in administrative system (FIMMAS), verify submit dates are correct
  • Work with internal departments (Customer Service and IT) to make corrections prior to submitting for adds, terms and changes
  • Provide Customer Service department with all groups’ Submit, Pay Period End and Effective dates for processing calendar


Carrier Integrity: 10%

  • Process carrier payments, cancellations, waivers, premium corrections, refunds, approvals. (as needed)


Research and Reporting: 20%

  • Work assigned group reports weekly or monthly as assigned. Reconcile report to the current month standard defined by management, which could include: excess balance; paid-to-date; positive balance no deductions; unpaid initial premium; negative balance. Run month-end group billing statements for clients as needed. Pay and document monthly carrier bills. (Monthly)
  • Process Audits for agents, carriers and clients when requested


Communication and Customer Service: As needed and Ongoing

  • Respond timely to internal and external emails and phone requests. Incoming calls from clients and agents may require extensive research for resolution.


Agent Support: As needed and Ongoing

  • In addition to resolving calls from agents, unscheduled office visits to resolve issues with clients’ policies and money need to be addressed.


Team Awareness: As needed and Ongoing

  • Escalate issues and processing concerns to Team Lead and Manager.
  • Contribute to the success of the team by assisting with procedure development, testing, and cross training with other roles in the group.
  • Provide support and back up for receptionist as needed.
  • Participate in peer reviews as requested in effort to constantly improve team quality.


Education and work experience

  • Business/Accounting certificates, Associate degree or higher in Business or Accounting or related field, or High School degree with comparable experience.
  • Verifiable experience using basic accounting concepts, such as debits and credits; payables and receivables.
  • 1-3 years in customer-facing environment, insurance industry preferred


Competencies

  • Microsoft Excel and other Microsoft Office applications proficiency required
  • Must be able to prioritize and effectively manage multiple priorities under deadlines without losing accuracy
  • Excellent oral and written communications skill to effectively relay information to internal and external teammates, agents, clients
  • Must be well-organized and detail-oriented while adhering to scheduled duties and deadlines.
  • Critical thinking and keen problem-solving skills, with the ability to recognize anomalies from reports and anticipate potential issues that may result
  • Team player with the ability to get along with others at all levels of the company, with good listening skills and professional behavior.
  • Punctuality, reliability and consideration for team, and how your role effects the group.
