Accounting Specialist Job Responsibilities:

  • Review invoices and check requests including ensuring appropriate documentation prior to payment.
  • Sort and match invoices and check requests
  • Set invoices up for payment through internal systems.
  • Process check requests by coding and inputting check information.
  • Prepare and process accounts payable checks, wire transfers and ACH payments.
  • Work with vendors on reconciliation of credit card and bank payments; find processing errors and take corrective action. Verify entries and compare system reports to balances.
  • Maintain accurate historical records of payments and actions around payments.
  • Prepare analysis of accounts
  • Monitor accounts to ensure payments are up to date.
  • Resolve invoice discrepancies.
  • Completes vendor file maintenance including updating address, names, terms and add new vendors according to policy and procedures.
  • Correspond with vendors and respond to inquiries.
  • Produce monthly reports.
  • Assist in month end closing duties.
  • Invoice coding
  • Prepare and make bank deposits.
  • Assist with preparation for annual audits.
  • Ensure compliance with internal accounting procedures.
  • Maintain accurate records, including ledgers, journals, receipts, and invoices.
  • Perform administrative and other tasks as needed.

Accounting Specialist Qualifications/Skills:

  • Understanding of GAAP accounting principles
  • Familiarity with QuickBooks or other accounting software
  • Microsoft Excel, and Microsoft Outlook
  • Strong written and verbal communication skills
  • Excellent attention to detail and accuracy in entering financial data
  • Outstanding math and research skills
  • Proficiency with 10-key typing and data entry
  • Deadline-driven with excellent time management ability

Education and Experience Requirements:

  • 1-3 years of general accounting experience
  • Associate or Bachelor's degree in accounting or related field preferred
  • Experience with ERP software
