ABOUT THE ROLE . . .

The primary responsibility of the Accounts Payable Supervisor & Staff Accountant is to supervise the expense processing service to the organization. This person interacts with internal and external customers as related to vendor invoice processing, employee expenses, and vendor inquiries. This individual also maintains AP system data to ensure the most current and updated information is available. This position will also be directly involved in the month-end financial close and will be assigned direct responsibilities.


Accountabilities include, but are not limited to:

  1. Supervise and assist AP Clerk with vendor invoices within AP invoice processing system (Esker)
  2. Assist AP Clerk in receiving, researching, and resolving a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons
  3. Research Vendor Discrepancies to ensure timely payment & processing
  4. Responsible for running weekly check runs, wire transfers, and ACH payment selections
  5. Approve vendor master set-up, maintenance & review
  6. Assists with monthly status reports
  7. Financial audit support
  8. Back up for all daily mail sorting
  9. Backup for employee expense report (Concur) management/set-up/accruals
  10. Periodically processes union payrolls and serves as a backup to payroll
  11. Processing journal entries that include adequate support for each month-end financial close
  12. Assist Accounting Manager with monthly lease activity & review
  13. Assist Accounting Manager in regular reviews of purchase orders (PO) with goods receipt to Invoice receipt (GR/IR) mismatches.
  14. Oversee Vendor statement reconciliations
  15. Bank reconciliations
  16. Other account reconciliations for month-end financial close as assigned
  17. Other duties as assigned
