Administration Office Manager

Salary: $6,760.00 - $8,398.00 per Month per month plus state pension plan


Job Description and Duties:

Under the direction of the Director, the Staff Services Manager I (Supervisory) supervises and directs a team of multi-disciplinary staff working on a variety of administrative activities to support the Division’s agreement, information technology, travel, legislative bill analysis routing, purchasing, work plan, and personnel functions; and has primary responsibility of overseeing the administrative aspects of all the Division’s projects.


The Administration Office within the Fuels and Transportation Division collaborates with the director, managers, supervisors, and staff to ensure the operations of the division work smoothly. This includes ensuring multiple administrative tasks are completed for approximately 80 division members including working with databases, travel, human resource engagement, grant funding agreement management tracking and organization, legislative bill analysis routing, and several other operational tasks.


The incumbent is expected to independently perform analytical research to develop and update Division administrative policies and procedures, develop procedures and training to support the Division’s Commission Agreement Managers, manage complex projects, and complete special projects for Division management. The incumbent must be able to work independently with a high level of organization and attention to detail, with an ability to prioritize, meet deadlines, and demonstrate excellent communication and leadership skills.

Desirable Qualifications:

  • Experience in providing direction, guidance, training, and corrective feedback to staff.
  • Ability to foster a teamwork and customer service work environment.
  • Experience as an operational lead to provide structure and processes.
  • Ability to work under pressure, handle multiple tasks, and adapt to changing priorities.
  • Ability to perform multiple tasks with accuracy and precision.
  • Ability to analyze issues, interpret complex information, and problem solve.
  • Ability to communicate in a clear, concise, and effective manner both verbally and in writing.
  • Preference for candidates with experience in a range of subject areas including legislative, finance/accounting, travel, personnel, and compliance with procedures.
  • Experience working with databases and information tracking procedures.
