This is an On-site role in Denver, CO. 

Schedule: Full-Time, Monday- Friday

Pay Range: $65,000-$90,000/year (Base+Incentive)

Summary of Major Functions: 

The Admissions Manager at EDCare is responsible for managing the admissions department and ensuring a smooth intake process for new clients seeking treatment. The Admissions Manager will be responsible for maintaining and growing specific performance indicators ensuring progress towards census goals and EDCare Denver’s overall growth plans. They will be responsible for maintaining and contributing to a culture of high performance and excellence. They will oversee all aspects of Admissions, including individual performance, inquiry/lead management, and departmental strategic planning.

Management Duties and Responsibilities-Admissions Department:

  1. Has comprehensive knowledge of treatment programs, insurance contracts, authorization processes, and admissions software/CRM systems.
  2. Demonstrates ability to provide comprehensive clinical recommendations for the appropriate level of care to the Clinical Director.
  3. Maintains an approved referral list for patients who are not appropriate for EDCare level of care or treatment.
  4. Will aim to develop a waiting list of patient for EDCare’s various programs and will be cognizant of and plan to mitigate seasonal/cyclical census changes.
  5. Coordinate cross-department admissions communication to ensure safe and timely access to care.
  6. Provides oversight, direction and training to admissions staff including monitoring calls, providing feedback, to ensure exceptional customer service and satisfaction for clients, families, and referral sources throughout the admissions process.
  7. Evaluates the retention and recruitment of competent candidates and leads training and coaching of staff.
  8. Establishes a regular schedule of daily and weekly meetings with Admissions coordinators and maintains consistent communication with staff that is supportive of staff roles and responsibilities.
  9. Ensures admissions department responds to inquiries within 4 hours of initial contact (in person, phone, email or web).
  10. Ensures open, informative and cooperative interactions s with families, referral agencies, and other community resources.
  11. Ensures that new patients are received on the first day of admission along with the appropriate members of their treatment team.
  12. Establishes and maintains key performance indicators associated with the admissions team (i.e. Daily Tracker, Referrals/Assessments, Assessments/Admissions, Conversion ratios).
  13. Conducts annual performance evaluations of all direct reports.
  14. Willing to travel to all sites for training or evaluation of local admissions staff as requested by the COO.
  15. Participates in marketing activities as needed.

Management Duties and Responsibilities-Department Coordination

  1. Maintains relationships with community providers and referral agents.
  2. Interfaces expeditiously with the financial department on all admissions and admissions insurance issues
  3. Interfaces expeditiously with the finance department to troubleshoot and resolve insurance concerns.
  4. Ensures timely completion and accuracy of initial paperwork: requests for benefits, inquiry forms, and intake activity sheet.
  5. Ensures pre-certification in a timely and effective fashion to ensure payment.
  6. Ensures proper reception and handover of incoming patients to treatment staff.

Management Duties and Responsibilities-Documentation

  1. Implementing efficiencies within the workflow and EMR system, interdepartmental workflows, and policies and procedures.
  2. Ensure that documentation and data entry are within standards per policy and compliance measures.
  3. Maintains accurate and timely Inquiry and Admissions logs. 
  4. Completes referral tracking forms in a timely fashion.
  5. Performs quarterly chart reviews for quality assurance.
  6. Schedules patients appropriately in EMR system and collects and provides information necessary to billing staff to ensure effective workflow processes.
  7. Demonstrates consistent knowledge at all times of potential patients and current and forthcoming census.


Qualifications

Minimum Qualifications:

  1. Bachelor a behavioral health or related field required. Master's degree preferred. 
  2. Willingness to obtain licensure in other states which EDCare operates at the cost of EDCare.
  3. Proven leadership of 5+ years in admissions leadership in a clinical setting required.
  4. Experience working with adults and adolescents required.
  5. Experience conducting clinical assessments required.
  6. Clinical conceptualization of the treatment of eating disorders and dual diagnosis required.
  7. Exceptional customer service skills.
  8. Good oral and written communication skills preferred.


Computer Skills:

  1. Must be able to effectively maneuver within an office scheduling system.
  2. Minimum of intermediate skills in Microsoft Word, Excel, and Outlook.
  3. Must be able to efficiently learn and effectively work within an electronic medical records system.

 

Physical Demands and Environment:

Physical demands of this job include but are NOT limited to:

Sitting frequently, standing occasionally, walking occasionally, talking constantly, hearing constantly, seeing constantly, reaching with arms and hands occasionally, crouching occasionally and using fingers intricately. This position requires lifting/carrying up to 10 pounds occasionally. 

 

Environmental conditions of this job include but are NOT limited to:

99% inside, 99% normal temperature and 99% normal noise as expected in a medical office environment.
