Job Description Summary

In a highly selective admissions environment, the Associate Director of Admissions Systems works closely with the Senior Associate Dean of Operations, the Senior Director of Admissions Systems, and the Assistant Director of Admissions Systems and serves as a core member of the operations team in the Office of Undergraduate Admissions. This role works with the technological infrastructure and systems essential for achieving recruitment and enrollment goals, primarily through the Slate CRM. The Associate Director of Admissions Systems also provides critical support to the communications and campus planning areas, actively contributing to the development and execution of strategies for student outreach and enrollment.

Job Description

Essential Functions:

  • Works in conjunction with the operations team to execute a comprehensive technology strategy for the Office of Undergraduate Admissions, ensuring the effective use of tools to enhance the recruitment and enrollment process.
  • Oversees communication templates and query building for prospective student email campaigns, including enhancing front-end web design for student facing portals.
  • Serves as a backup and technical support to the Senior Director of Admissions Systems and the Assistant Director of Admissions Systems for duties within the enrollment management and student information systems.
  • Troubleshoots and performs routine processes for the integration of admissions systems with other institutional databases and platforms, including but not limited to Workday SIS, PowerFAIDS, and Blackbaud.
  • Works with the Senior Associate Dean of Admissions to create appropriate security measures for all Admissions Systems to maintain data integrity. Ensures compliance with admissions policies and regulations, including data security and privacy requirements.
  • Works as part of a team to support and implement outreach strategies to attract and enroll a diverse and qualified student body across the admissions divisions.
  • As issues arise, works with other members of the Operations team to identify, prioritize, and resolve system-related concerns as it relates to daily operations.
  • In conjunction with the operations team, assists with annual systems cycle prep and enhancements for new admissions year. This includes the management of annual updates to each application version, including testing, publishing, and mapping of data to Admissions Office systems. Responsible for assisting in testing of systems, new processes, applications, etc., as necessary.
  • Superior communication and organizational skills. Assists in creating documentation related to Admissions Office systems. Ability to manage concurrent projects and demands. Capacity to work independently, as well as collaboratively.
  • Serves as a liaison, model, and mentor for other Operations Processing staff, bringing processing issues to the attention of the Senior Director Admissions Systems and the Senior Associate Dean of Operations when necessary. .
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities

  • Bachelor’s degree required.
  • Prior use of enrollment management systems is key, use of Technolutions Slate prioritized, use of Powerfaids or Workday prioritized.

Preferred Education, Knowledge, Skills, Abilities

  • Knowledge of SQL, HTML, Javascript, and CSS preferred.
  • Relevant technical work experience required, experience in higher education preferred.
  • Knowledge of Wake Forest Educational and Campus Programs preferred.
