As an Executive Assistant, you handle complex situations and multiple responsibilities, including building a schedule for maximum productivity, planning meetings, preparing materials, managing projects, bringing associates up to speed, and more.
The Executive Assistant will provide administrative and operational support to the Executive Vice President of Operations and the Operations leadership team, ensuring that the team is set up for day to day success. This role will report to the Executive Vice President of Operations and will provide support to the following leaders and their teams:
· Executive Vice President of Operations
· Vice President of Support Services
· Vice President of Integrated Facilities Management
The Right-Hand Person
· Maintain meeting calendars, coordinate schedules, and organize all travel arrangements
· Carry out the executive leader’s departmental goals and visions
· Assist in day-to-day projects and assignments, which may include pulling financial and operational reports, organizing presentations and assisting the department with events and meetings.
· Represent the executive leader both internally and externally
· Maintain the strictest level of confidence
· Help the executive with prioritization of professional and personal commitments
The Task Master
· Assist in overseeing budget management; prepare expense reports
· Compose reports and briefings as needed
· Provide administrative support and other required assistance, prioritizing the EVP and VPs but also offering broader support to associates across the department
· Manage and participate in special projects as needed
· Assist in maintaining a prioritized list of initiatives and collecting status updates on key projects on a regular basis
The Communicator
· Use your written, verbal, and interpersonal communication skills to draft and prepare various communications
· Prepare presentations and materials for internal and external delivery
· Record, transcribe, and distribute meeting minutes
· Communicate to internal and external parties on the executive leader’s behalf, liaising between all groups to streamline correspondence
· Develop solid working relationships inside and outside of the company, especially with other EAs and AAs across the operations organization.
