Executive Office Manager (Contract)

Asurion is seeking an Executive Office Manager to manage all aspects of the executive office, provide administrative support to the Chairman’s assistants. The ideal candidate should be proactive and a self-starter who possesses great attitude and can manage day to day business activities.

The candidate must be an effective communicator, resourceful, detail-oriented, flexible to a fast-paced ever-changing environment and comfortable with being contacted outside of regular office hours. Computer proficiency, composure, tact, and maturity are essential traits. The ideal candidate has office management experience serving as liaison to visitors, vendors, and property management.

Essential Duties and Responsibilities:

  • Provides administrative support to the CEO’s and Chairman’s assistants and serves as backup support in their absence.
  • Liaises with the legal team to collect signatures in a timely and efficient manner.
  • Manages relationships with vendors and coordinates shipping, receiving and tracking of all packages and mail.
  • Coordinates coffee, breakfast, and lunch deliveries through phone-based apps, delivery, pick-up or catering.
  • Maintains the sanitization and appearance of all common areas. Must keep workspace clean and organized.
  • Serves as the point of contact for clients, guests, vendors, and property management by providing directions, security clearances and general onsite support.
  • Schedules meeting rooms for internal and external meetings. Ensures conference rooms are sanitized and set up properly.
  • Liaises with IT to ensure conference rooms, printers and Wi-Fi are working appropriately.
  • Ensures office and kitchen supplies are adequately maintained.
  • Maintains contact lists such as employee information, birthdays and other lists as needed
  • Liaises with facilities to coordinate vendor visits, site repairs and additional issues that may arise. Assists with the posting of HR communications and business-related posters.
  • Assists with special projects, events, and off-sites – includes venue site tours and research presentations.
  • Assists with executive car bookings, travel arrangements and expense reports.
  • Light EA duties for remote executives as time allows

  • Confident in handling sensitive, complex, and confidential information appropriately.

Requirements:

  • 5+ years experience in office management and/or executive support.
  • Associate degree in business or liberal arts required. Bachelor’s degree preferred.
  • Proficient in MS Office Suite – calendaring experience in Outlook necessary.
  • Refined verbal and written communication skills with exceptional follow through.
  • Reliable transportation and valid California driver’s license.
