The Human Resources Operations Manager will be responsible for managing the day-to-day operational functions of the Human Resources (HR) department, including oversight of benefits, leave and pay administration, HR systems and vendors, and enforcing company policies and procedures.


Payroll


  • Ensure all employees and managers are properly trained and compliant with timecard issues such as meal and rest breaks, overtime, timesheet submission, etc.
  • Develop and implement an audit process to comprehensively review all pay related data entry while also addressing and resolving payroll-related inquiries
  • Serve as a backup to the Payroll Manager for global payroll processing, ensuring accurate and timely payroll administration in their absence
  • Establish and implement a standardized process for overtime approval
  • Oversee the review and approval of all non-exempt timesheets
  • Oversee the generation and distribution of regular overtime reports


Benefits


  • Lead the management of comprehensive global benefit programs and vendors, encompassing health, retirement, wellness, and other employee benefits, ensuring alignment with company objectives, legal compliance, and the well-being of an international workforce
  • Develop and execute communication strategies to educate employees about their benefit options, eligibility, and any changes, including creation of a US benefits book and similar benefit materials for employees outside the US
  • Meet with new employees to provide guidance on benefit enrollment
  • Address employee benefit inquiries with a white glove approach
  • Manage the end-to-end process for all benefit renewals through PEO in the US and benefit broker outside the US


Leave Management


  • Oversee leave requests, approvals, tracking and compliance with company policies and legal requirements
  • Ensure seamless coordination and communication with employees and managers
  • Develop comprehensive materials and conduct one-on-ones with those taking leave to provide guidance and support on leave policies and procedures
  • Lead the interactive accommodation process, collaborating with employees and management to assess accommodation needs, explore viable solutions, and ensure compliance with legal requirements
  • Offer expert guidance and support to the HR team in navigating the complexities of federal and state-specific leave laws across the US, ensuring compliance and effective implementation


HR Data and Systems


  • Oversee the entry and audit of HR data across platforms, ensuring data is maintained accurately for all employees
  • Partner with HR data lead to develop and create custom and complex reports in Bamboo HR including creation of compensation and benefits reports including salary ranges, pay equity analyses, leave tracking, turnover, benefits utilization, and more
  • Create and maintain workforce analytics reports to provide insight into the composition of the firm to support leadership in decisions on staffing, succession planning and diversity and inclusion efforts
  • Compile and audit data for EEO, ACA, OSHA, and other required reporting
  • Serve in a relationship manager capacity for all HR vendors
  • Function as the HR point person for implementation of new HR systems


Compensation


  • Conduct external salary benchmarking by researching and analyzing industry and regional salary data to ensure salary levels remain competitive
  • Conduct job evaluation within the organization to determine relative value and benchmark jobs appropriately
  • Maintain internal job architecture documentation and any corresponding internal communication
  • Conduct pay equity analysis to identify and address any disparities in compensation
  • Provide support in semi-annual discretionary bonus and salary review cycles


Education and Qualifications


  • 7+ years of relevant HR operations experience required
  • Bachelor's degree


Experience, Skills and Competencies Required


  • Strong knowledge in HRIS and payroll system, experience with Bamboo HR is a plus
  • Strong knowledge of industry trends and employment legislation, proven proficiency in ensuring compliance with all federal, state, and local employment laws
  • Strong strategic, conceptual, and critical-thinking abilities
  • Ability to develop effective relationships with internal and external colleagues and partners.
  • Strong analytical skills and ability to perform financial analysis in Excel
  • Must work well independently and within a team and demonstrate a high degree of initiative, flexibility, and collaboration.
  • Excellent written, oral communication, presentation, and interpersonal skills.
  • Proficiency with Microsoft 365 including advanced Excel, knowledge of SharePoint, Adobe Acrobat Pro, SAP Concur, HRIS and ATS software
  • Enthusiastic team builder with strong leadership skills including relationship building, planning, communication, and coaching
  • Travel may be required on occasion
