The Position on our Team:

The Leasing Coordinator provides day-to-day support to members of the Leasing team. These duties include customary administrative duties for the Leasing team as well as role-specific tasks.

This is a full-time position with a hybrid schedule of three days of in-office work and two days of remote work.


In This Role, You Will:


Leasing Coordination

  • Enter deals in Yardi, including tenant packages.
  • Run reports from Yardi Voyager for Leasing Team.
  • Assist with Letters of Intent (LOI) - analyze tenant terms.
  • Basic analysis of Tenant Rents, Cost of Occupancy, Deal Terms, etc.
  • Access Content Cloud for lease language.
  • Research contact information for prospective tenants.
  • Access and use social media to source and connect with prospective tenants.
  • Retrieve and supply sales numbers to tenants.
  • Link and share content with tenants with the cloud-based content sharing platform Box.
  • Update monthly lease plans and merchandising plans.
  • Prepare lease plans for tenant presentations.
  • Coordinate property team calls by creating and updating agendas and composing and distributing meeting minutes.
  • Create and maintain spreadsheets for leasing projects, including contract negotiation tracking.
  • Assist with preparations for International Council of Shopping Centers (ICSC) meetings and conferences.
  • Send out property packages.


Restaurant Leasing Coordination

  • Manage and be responsible for updating restaurant reporting (Monster Report, Deal Summary Report, Lease Expiration Report, etc.)
  • Schedule regular calls with property leasing leads to discuss restaurant goals; use collected information to update reports.
  • Create and Edit One Sheet Summaries for restaurant strategic plans; add restaurant metrics, availability, and goals.
  • Create and maintain Restaurant Availability report.
  • Provide monthly updates for upload to Mobile Leasing of the Deal Summary sheet.


Administrative Support

  • Reconcile purchasing card (P-Card) expenses and generate mileage reimbursement reports in Chrome River.
  • Assist with calendar maintenance for Leasing Managers.
  • Coordinate travel arrangements for Leasing team as needed.
  • Work with annual budgets and lease plans.
  • All other duties as assigned.


What You Bring to Macerich:

  • One to 3 years in a leasing support or administrative role.
  • Comprehensive understanding of lease agreements and deal entry.
  • Understanding of basic forecasting principles and financial and occupancy reporting.
  • Strong analytic skills preferred.
  • Effective communication skills that foster cooperation and teamwork.
  • Comprehensive computer skills including Outlook, Excel, Word, PowerPoint, Adobe Illustrator, Photoshop, Kofax Nuance PDF, SharePoint, Box, and Yardi.
