Phipps Houses is one of the nation’s oldest and largest not-for-profit developer/owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and it’s tax exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.

Salary is $62,400 plus discretionary bonus at year end

Summary

Hours are 11:30 am – 7:30 pm and working at least one weekend day required. Schedule may be adjusted as needed to accommodate business needs.

The Leasing Coordinator’s responsibility is to assure expedient services to applicants and new tenants. The Leasing Coordinator oversees all phases of leasing, and renting up vacant residential units. Core duties may include vetting applicants, preparing leases and reports, and corresponding and communicating with owners and upper management.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Leasing Coordinator must have good organizational skills and must have the ability to multitask.

Marketing: The Leasing Coordinator will prepare regular reports to management describing progress with leasing efforts and recommendations for action. The Leasing Coordinator will ensure that all efforts are implemented in a timely manner.

New lease up: Leasing Coordinator is responsible for renting vacant apartments at a rent agreed upon by owner. The duties include but are not limited to: vetting potential applicants, fielding correspondence from applicants and brokers, showing vacant units, signing leases and appropriate documents, liaising with government regulators, scheduling move-in dates and collecting first month’s rent and security. Leasing Coordinator will work with maintenance staff and manager to ensure that units are prepared for new tenants in a timely manner.

Lease renewal – Monitoring the lease renewal process of all current tenants under DHCR rules and regulations. After lease renewals have been distributed, negotiating terms of renewal with goal of re-renting unit to current tenants at the highest possible rent.

Reporting: Leasing Coordinator must develop, implement and provide weekly traffic reports, indicating number of potential applicants who contacted office, sources, conversion rates etc.

Representing the building and owner at public and government meetings, seminars and other venues that are necessary to maximize rent up and exposure of property to community.

Must be familiar with and be able to use EXCEL spreadsheet, WORD and other office applications.

EDUCATION And/or EXPERIENCE

Bachelor’s degree (B.A.) or Associates degree; or one to two years related experience and/or training; or equivalent combination of education and experience.

Computer Skills

Must have ability to use Microsoft Excel to analyze data and prepare reports, Microsoft Word to write letters, renewals and other riders, Adobe pdf, Property Management software, internet email and other basic software applications.

Language Skills

Ability to write reports and, business correspondence. . Ability to effectively present information and respond to questions from, clients, customers, and the general public.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENCES, REGISTRATIONS

Real Estate Broker’s license is a plus but not a requirement
