Office Assistant

Duties

  • Efficiently sort, scan, and route incoming mail to ensure timely distribution.
  • Utilize a web-based application to accurately capture and manage receivables.
  • Handle outbound mail and courier items, including the delivery of e-certified items to the adjacent Post Office.
  • Provide comprehensive copy and print services to meet office needs.
  • Manage office support requests through the Microsoft Teams ticket system.
  • Offer hospitality support and manage inventory supplies to ensure a well-stocked and welcoming office environment.
  • Pre-register visitors, send QR codes, provide way-finding directions, submit requests for building access cards, and monitor the video phone to grant access.
  • Manage reservations for conference rooms, offices, and event spaces.
  • Assist with catering, room logistics, creation of name tags, and basic A/V setup for meetings and events.
  • Act as the internal point of contact for vendor service visits, capturing completed action information and reporting to the manager.
  • Work collaboratively with the team on various departmental projects to ensure smooth operations.
