Essential Job Duties

The Operations and CRM Manager is the primary administrator for the Jenkins graduate programs’ CRM and database, utilizing Slate Technolutions. Reporting to the Associate Director of Admissions and Operations, this role focuses on streamlining recruitment, engagement, and application evaluation processes.

In this role, you will collaborate across departments to meet the operational and strategic goals of the Poole College of Management, developing tools and strategies for the Jenkins graduate student affairs team. You will be responsible for minor technical tweaks to leading major functional upgrades and phased roll-outs across departments. Additionally you will maintain the integration between Slate and any third-party add-ons we select, ensuring seamless operations and optimal performance.

Key Responsibilities include but are not limited to:

  • Develop automated processes, customized queries, reports, and interfaces in Slate for marketing and recruiting.
  • Report weekly admissions and recruitment data for Poole graduate programs.
  • Create and manage custom reports in Slate and Excel for program decisions, accreditation, and rankings.
  • Enhance Slate and WordPress functionalities for recruiting, admissions, academic advising, and alumni.
  • Scout and manage third-party software integrations and vendor relationships.
  • Coordinate automated email campaigns and workflows for seamless communication with prospects, applicants, and students.
  • Create targeted email lists, templates, and registration forms in Slate.
  • Assist with graduate application processing and initial review.
  • Plan and deliver user training sessions.
  • Advocate for process innovation and solutions-oriented approaches.
  • Interpret and implement policies with minimal guidance.

Qualifications

Minimum Education and Experience

  • Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.

Other Required Qualifications

  • Exceptional attention to detail with a proven track record of accuracy.
  • Proven initiative and proactive approach to identifying and solving problems.
  • Demonstrated ability to innovate and improve processes.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Excel or similar software, with experience in creating complex reports.
  • Extensive experience in CRM and database administration.
  • Proficient in website editors such as Expression Engine, WordPress, and HTML .
  • Experience with marketing and sales software, including Hubspot, Bronto, and Astra.
  • Strong skills in query logic and report building.

Preferred Qualifications

  • Advanced experience with Slate and Hubspot, managing and optimizing CRM systems
  • Experience with PeopleSoft and NextGen systems
  • Proficient in using Eventbrite, GotoWebinar, and Bronto for event management and marketing
  • Experienced programming knowledge, specifically using Apex code, Visualforce, and SOQL
  • Strong data collection and analysis skills for reporting purposes, with experience in generating actionable insights.
