Job Description Summary

Reporting to the Associate Vice President (AVP) in the Office of Personal and Career Development, the Project Coordinator will assist the AVP and the OPCD Career Education and Coaching (CEC) team. Responsibilities include classroom and project support, communication, workshop coordination, and administrative tasks.

The Project Coordinator (PC) will also provide administrative support to the Associate Vice President. This includes managing calendars, organizing meetings, preparing presentations and classes, overseeing administrative tasks such as classroom scheduling, and budget management. The role demands professionalism, confidentiality, and strong customer service skills in interactions with a variety of campus partners and stakeholders.

Job Description

Essential Functions:

College-to-Career (C2C) Courses:

  • Assist AVP with academic course scheduling, preparation, course enrollment and management, and presentations and budgets associated with the C2C courses.
  • Manage career assessment workflow, including ordering and distributing assessment results, processing payments, and organizing student data.

Support For CEC Team:

  • Schedule facility spaces for OPCD events.
  • Manages career event logistics including digital marketing, securing, and preparing meeting space, scheduling events with student groups, technology needs and communications to students and outside guests.
  • Participate in meetings to share data, improve operations, and ensure positive experiences for stakeholders.
  • Assist in setting student appointments and maintaining organizational calendars.
  • Coordinate onboarding and scheduling for all student employees.
  • Perform standard office tasks such as copying, filing, and composing correspondence.

Administrative Tasks:

  • Provide comprehensive administrative support to the AVP, including calendar management, meeting preparation, budget oversight, and travel coordination.
  • Support the AVP and CEC team with equipment, supplies, and budget management.
  • Manage confidential student and institutional documents.
  • Coordinate budget activities with Finance and Accounting Services, including invoice processing, budget updates, and expenditure requests.
  • Participate in WFU Career Team program and event committees, assisting with logistics.
  • Offer backup support to OPCD Operations & Project Assistant as required.

Additional Responsibilities:

  • Provide backup support to OPCD Executive Assistant and Program Coordinator and to Operations and Project Assistant.
  • Perform other related duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • High School Diploma required.
  • 2-3 years of experience in customer service, project management, and software utilization (Microsoft Office, PowerBI, Workday, etc.).
  • Highly professional interpersonal, customer service, and communication (written and verbal) skills.
  • Ability to work effectively with a wide range of constituencies in a diverse community, including students, faculty, staff, and administrators.
  • Ability to plan, organize and provide support to coordinate events/functions, receptions, and OPCD programs.
  • Ability to multitask effectively; coordinate, manage and maintain multiple calendars, schedule appointments, and coordinate projects with flexibility, patience, and attention to detail.
  • Ability to organize workflow, prioritize workload and meet deadlines.
  • Ability to work in a fast-paced environment with frequent interruptions.
  • Ability to prioritize and problem solve effectively, distinguishing between different types of problems and ascertaining the most appropriate solution.
  • Ability to be a self-starter, self-motivated, and can work with minimal supervision.
  • Ability to understand and follow specific instructions and directions.
  • Ability to maintain the confidentiality of records and information.
  • Knowledge of office management practices and principles.
  • Proficiency in Microsoft Word, Excel, Powerpoint, Google for Education Suite; knowledge of Handshake, Workday, Canvas, and Microsoft Publisher a plus. Ability to quickly learn new software programs.
  • Ability to type accurately and use standard office equipment and online technology.
  • Knowledge of standard office tasks such as copying, collating, filing, composing correspondence, labels, reports, faxing, etc.

Required Education, Knowledge, Skills, Abilities:

  • BS/BA degree preferred.
  • 3-5 years of experience in customer service, project management, and software utilization.

Accountabilities:

  • Responsible for own work.
  • May supervise student interns or workers.

Physical Requirements:

  • Sedentary work primarily involves sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned.
