Position Summary
The Westchester County office is seeking an entry-level project assistant to join our Securities Litigation team. The project assistant will provide a wide range of administrative, document processing services and practice specific assistance to attorneys in the Department, from onset of litigation cases through post-trial. Work hours are Monday to Friday, 9:30 a.m. to 5:30 p.m., must be flexible for overtime, as needed.
Duties & Responsibilities
The Westchester County office is seeking an entry-level project assistant to join our Securities Litigation team. The project assistant will provide a wide range of administrative, document processing services and practice specific assistance to attorneys in the Department, from onset of litigation cases through post-trial. Work hours are Monday to Friday, 9:30 a.m. to 5:30 p.m., must be flexible for overtime, as needed.
Duties & Responsibilities
- Provides general legal/administrative and litigation support to attorneys.
- Maintains case and document databases pursuant to department standards; updates physical files as necessary.
- Updates case information, scans documents, keyboards and prepares legal documents, and conducts research.
- Prepares binders for depositions, hearings, and other proceedings pursuant to departmental templates.
- Creates indices of documents per examples provided.
- Processes time entry, open new matters, draft engagement letters and audit responses.
- Makes travel arrangements, processes reimbursement expenses, maintains calendar.
- Manages phone lines for supported attorneys, fields calls and conveys messages as necessary. Communicates with clients, opposing counsel, courts, and liaisons.
- Assists with practice department activities/project work assignments as needed, and performs additional duties and responsibilities as assigned.
- Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation.
- High attention to detail, outstanding organizational skills and the ability to manage time effectively,
- Self-starter with the ability to work both independently and as part of a cross-functional, collaborative team.
- Critical thinker with the ability to shift priorities and manage change with a positive outcome.
- Ability to prioritize workload, adapt to a fast-paced environment.
- Ability to establish and maintain effective working relationships with all levels of the organization.
- Bachelor’s Degree or equivalent education and work experience.
- Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies.
- Working knowledge or experience in a law firm environment is helpful.
