The Property Administrator position provides first-class property management services and assists the Property Management team with day-to-day responsibilities including Accounts Receivable & Accounts Payable, office administration, customer service and enhancing tenant relations.
Essential Responsibilities:
Create and manage File Notice to Owners
Maintain Encumbrances Report to date
Assist with Lease Abstracts
Maintain Tenant Contact Information
Maintain Tenant Certificate of Insurance along with contact information
Answer calls to management office.
Greet guests and visitors to the management office and effectively deal with their concerns by exhibiting a professional, mature, courteous, gracious and efficient manner.
Promote high level of satisfaction among tenants by promptly responding to their service requirements.
Assure prompt response by other team members through dispatch, telephone messaging and/or other direct contact.
Acknowledge role as management office "ambassador"; CP's image is reflected through proper telephone and reception procedures and quality tenant service.
Use independent judgment to enforce compliance with insurance requirements among tenants, contractors, vendors, and suppliers.
Document incidents of potential liability to property and equipment.
Handle calls for regular maintenance of the property, ensuring the safety and security of the premises.
Assist in managing tenant work orders.
Drafting and maintaining vendor contracts.
Monitor activities of team members and stay abreast of schedules and appointments.
Open, date stamp, and distribute incoming mail; collect and prepare outgoing mail; maintain confidentiality of items marked as such.
Monitor supplies and order when necessary.
Aid in proofreading and editing documents.
Coordinate timely repair and maintenance of office equipment
Adjust to changing situations, working effectively under pressure.
Qualifications:
High School Diploma required; bachelor's degree is preferred.
Experience supporting a Commercial Property Management Team
Experience in Microsoft Office, Excel, reception, work orders, certificates of insurance, tenant interaction, construction management, and Angus.
Resourceful at identifying and working around obstacles and finding solutions
Demonstrated commitment to customer service
Self-starter with independent work skills that can function effectively within a team environment.
Excellent time management and organizational skills with a proven ability to meet deadlines.
Ability to work collaboratively within a diverse team of assertive personalities
Must successfully complete background screening
