Nature of Work

Coordinate and facilitate all components of the proposal process to ensure both accuracy and visual quality in response to commercial and private requests by researching and preparing materials specific to the respective Requests for Proposal (RFP), Qualifications (RFQ), and in-person presentations.

Essential Responsibilities

  • Write, edit, design, prepare, and coordinate the development of proposals, sales presentations, and schedules, ensuring and enforcing that deadlines are met.
  • Continually update proposal library and CRM (Cosential/Unanet) with all information related to projects, proposals, resumes, team members, and client and partner data.
  • Gather appropriate information specific to each proposal and/or presentation, identify personnel involved and communicate responsibilities to pursuit team.
  • Interface with and coordinate information from multiple departments, such as Business Development, Estimating, Safety, Operations, Marketing, Accounting, and in some cases, outside organizations or vendors.
  • Maintain a working knowledge of the company, divisions, staff capabilities, regular subcontractors, clients and competitor details to assist the pursuit team in creating the most strategically positioned and technically competent proposal to win the work.
  • Coordinate production and the distribution of all proposal documents to appropriate internal and external stakeholders for approval.
  • Organize documents and track past proposal materials for future use; format for multiple offices to access and utilize.
  • Deliver a quality product uniquely designed to meet the requirements of each request and ensure each submittal is thoroughly reviewed through appropriate QC processes.
  • Contribute to the voice and flow of proposal documents, where appropriate, to reinforce brand consistency and standard.
  • Prepare other brochures, advertisements, (both electronic and print) and general business development collateral items as necessary to support the efforts of the company, as needed.

Qualifications

  • Adobe Create Suite
  • Advanced InDesign knowledge is preferred
  • Experience working in a CRM
  • Experience with government agencies is a plus

Education

  • A minimum of a bachelor’s degree from a four-year college or university, or equivalent experience

Experience

  • 5+ years or more of related work experience preferred

Physical Demands & Working Environment

  • 100% in office
  • Minimal Travel
  • Physical demands for this position are moderate. Typically, the employee may sit comfortably to do the work. However, there may be walking, standing, bending or carrying of items (25-50 pounds) such as plan documents, papers, books, parts, etc.
