Duration: 12 months with a possibility to extend

Location: US Remote (EST Preferred)

Job Summary

The Client is seeking a highly skilled and experienced Vendor Operations Manager to support the Client’s Product Quality Experience & Vendor Management teams through the governance of vendor resource access to Client tools, database management, coordination of vendor business reviews, and ensuring compliance with all corporate and team training requirements. The ideal candidate will have a strong background in vendor and project management, excellent communication skills, and the ability to work well under pressure.

Responsibilities

  • Vendor Worker Access Management & Onboarding
  • Coordinate the onboarding and offboarding of Vendor Workers on Client’s proprietary tools and corporate systems by working closely with Vendor Companies and the Client Contingent Workforce team in compliance with company policies.
  • Maintain a large database of approved, active Vendor Workers and support their periodic systems access renewals.
  • Develop and manage a comprehensive database containing information of all vendor workers ensuring the database remains up-to-date with any cost center, CWAM, product area or similar modifications.
  • Review, prioritize, and track progress of issues that affect vendor worker tooling access.
  • Create vendor-specific tooling permission rule sets.
  • Stay up-to-date via internal discussion and collaboration groups on Client’s evolving policies and training applicable for vendors.

Vendor Performance Management & Operations

  • Coordinate business review meetings (QBR & MBR) with vendor contacts and internal stakeholders.
  • Working with vendors to ensure all assignments are understood, timelines are followed, and deliveries completed correctly and on time
  • Using google suite tools, create surveys and compile results; create presentations.
  • Develop a system to record and maintain outcomes and related follow-up actions.
  • Implement process modifications as per action items and follow-ups identified.
  • Support and collaborate with internal cross-functional teams and stakeholders (Program Management, Product Quality and Experience, Engineering, etc.) to achieve mutual goals.

Business Management

  • Support the preparation of various reports related to headcount, purchase tracking, budget transfers across different product teams, cost savings through the use of accurate tracker documents.
  • Facilitate the creation of Purchase Requests/Orders and follow up with relevant teams to resolve any issues that may arise.
  • Ensure compliance of vendor invoices and oversee the process of checking, approving, and tracking them using a tracker document.
  • Maintain updated vendor cost sheets.

Process Improvement & Documentation

  • Improve and optimize internal and external end-to-end processes and workflows related to vendor onboarding, resource management, budget transfers; maintain proper documentation.
  • Create and update 'how-to' guides for the PQX Wiki page, including any new or improved processes.
  • Work with internal tooling teams to document issues and potential improvements to vendor tooling infrastructure.
  • Record and address lessons learned from past issues.
  • Ensure standardized file formats and folder structure are maintained.

  • Strong attention to detail to effectively analyze existing processes for improvement opportunities and create accurate, comprehensive, and consistent process documentation.
  • Self-motivated with strong problem-solving skills
  • Excellent organization and planning abilities
  • Strong financial management skills and ability to analyze complex data to support making informed business decisions
  • Proficient in database management (online and offline types)
  • Strong verbal and written communication skills
  • Ability to prioritize, escalate, and solve problems efficiently
  • Familiarity with Microsoft Office and G Suite

Minimum Qualifications

  • 5+ years of experience with vendor and/or project management
  • Experience in financial management with a strong background in budgeting, forecasting, and financial analysis
  • BA/BS in relevant discipline
  • Ability to communicate clearly and efficiently
  • Ability to stay focused under pressure, prioritizing and managing multiple projects simultaneously in a fast-paced environment
  • Excellent MS excel skills

Preferred Qualifications

  • Experience working in business process tools
  • Familiarity with Client Platforms (i.e. Facebook, Instagram, Messenger and Oculus)
  • Data analytics and visualization
  • Active directory experience
