Office Manager; the job title has a lot of meaning in the world of professional employment. While some would view it as merely a typical administrative position, others would see it as a position in professional management. After 8 years as an office manager, I would say it depends entirely on the organization, department, and the manager and team you work with. Luckily for me, I was always been treated as a professional office manager who was capable of doing everything. And what is everything?! Starting with doing normal admin tasks, managing the C level calendar and office, budget and financials, orders and payments, managing the staff, attending meetings, following up actions, responding to letters, arranging business travels, being discreet and trustworthy - TO becoming authorized and empowered to travel with Executives, team and clients for high level events and act as representative to certain meetings. While that bieng said, working as an Office manager in a Business department had its perks as well, I had the opportunity to deal with clients and partners, learn and be part of different interesting projects, expand my network by meeting new people and most importantly broaden my skills in B2B customer service and how to deal with high level clients. If I was to give another title of this profession it would be “Office Ninja” and its 100000% more than that. Scheduling: • Plans, coordinates, and ensures the BOD's schedule is followed and respected. • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the BOD, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Meeting: • Attend BOD meetings and keep written minutes of the meeting and record attendance. • Following meetings, prepare the minutes for review and approval by the BOD. Distribute draft and approved copies of the minutes, including all attachments. • Provides a bridge for smooth communication between the BOD office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff. • Works closely and effectively with the BOD to keep well informed of upcoming commitments and responsibilities, following up appropriately. • Organize company event – internal and external event. • Translate document into English and Vietnamese. II. Office Management: • Ensuring the HCM office is in good operation & maintenance. Providing preventative measures by identifying issues & providing solutions. Overseeing office interactions, responding to requests and questions. • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested. • Ensuring domestic and international travel, including flight, hotel, and car rental reservations under the company’s travel policy. • Implement policies and procedures, measure outcomes against standards, and improve operational flow when identified. • Supervising, training, and coaching our office staff, including Receptionist, Mail Man, and Office Maids, and delegating assignments to ensure maximum productivity. #Assistant #clerk #administration #administrator
