Position Summary:

Hillwood is currently looking for a Property Assistant to join our Industrial Property Management Team in Dallas. The responsibilities included in this position are to provide daily coordination of all mail and invoices, tenant maintenance calls, provide administrative assistant to Property Managers, maintain property files, track rent receipts, produce manual billings and assist with yearly budget process.

Responsibilities:

Operations:

  • Provide administrative support to the Property Managers.
  • Assist PM with tenant communication on repairs and property visits.
  • Enter and schedule tenant work order request into Impak work order software.
  • Set up a reminder for the repair and follow-up with the contractor until completed.
  • Assist with set up new property, lease and vendor files.
  • Coordinate completed building, tenant and insurance certificates.
  • Assist with special projects.
  • Order property/office supplies as needed (key boxes, etc.)

Administration:

  • Sort and distribute mail.
  • Utility account set up for new property services, account transfers, troubleshooting as needed and maintain all utility account data on master spreadsheet.
  • Maintain tenant, vendor and property contacts.
  • Provide support to the Property Managers for lease administration to include:
  • Certificate of Insurance compliance (Tenant and Vendor)
  • HVAC preventative maintenance contracts
  • Emergency contact information

Accounting:

  • Produce manual billings for tenants as directed by PM.
  • Invoice processing through data entry on AP system and approval routing.
  • Prepare team expense reimbursements.
  • Assist PM with yearly budget process and CAM reconciliation.

Required Skills:

  • Strong customer service skills and related work experience in real estate management.
  • Ability to interact effectively at all levels.
  • Excellent customer, quality and results orientation
  • Ability to work independently in a fast-paced environment
  • Demonstrate high level of professional demeanor, integrity, ethics and leadership
  • Proficiency in MS Office a must

Education and Experience:

  • 2-5 years of administrative experience and/ or related background required
  • Knowledge of property management, real estate or related industry experience
